The Opportunity

Position: Office Manager

As the Office Manager you are responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency. You will be accountable for managing a team of Office Administrators in which you fosters a strong sense of Customer Service and team spirit.  

This role combines management, administration, customer service and client support.

MAJOR RESPONSIBLITIES:

  • Assumes responsibility for excellent customer service within the Branch office; Ensures that phones are answered efficiently and customers are supported by Office Administrators. Communicates courteously with customers by telephone, email and face to face; Investigates and solves client problems that are not service related; Keeps accurate records of discussions or correspondence with clients; Writes reports and analyzes the customer service that the Company provides; Trains office staff assigned to him/her to deliver a high standard of customer service
  • Assumes responsibility for maintaining office services; Ensures office standards and procedures are adhered to; Organizes office operations and controls correspondences to ensure month end and all assigned work has been completed by dead line; Ensures incoming paperwork is in adherence with Company standards. Performs all office administration duties to ensure optimal coverage for absent or vacationing office staff
  • Assumes responsibility for managing and directing office staff; Leads and supervises a team of Office Administrators; Assigns and monitors clerical work; Orients and trains new office staff; Manages performance management and taking corrective action

SKILLS AND EXPERIENCE:

  • Candidates must have at least 3 years administrative team management experience
  • Five or more years Customer Service experience
  • Strong English written / verbal communication
  • Professional writing skills
  • Advanced Microsoft Office skills
